How we use your CV
Last updated: 12 October 2026
When you upload your CV to mentorhero, you're sharing it so we can help you get the most from mentoring. This policy explains what we do with it, who can see it, and your rights over it. It sits alongside our privacy policy, which covers how we handle your personal data more broadly.
What we use your CV for
We use your CV to:
- help match you with a suitable mentor, by understanding your background, experience and goals
- share it with the mentor you're matched with, so they can understand where you are and prepare for your session
- allow your mentor to give you feedback on your CV, if that's something you'd like
- prepare the briefing your mentor receives before your session, so they arrive knowing your background
We do not use your CV for any automated decision-making that has a legal or similarly significant effect on you.
To do this we turn your CV into text, which we keep only while that CV is on your account: replace or remove it and the text goes too. The briefing your mentor receives is different: we keep a copy of it as a record of your session, including the details from your CV that it mentions. Replacing or removing your CV does not change a briefing that has already been sent. We use an AI supplier, Anthropic, to help prepare your mentor's briefing, and to read your CV if our own software cannot, for example because it is a scan. Anthropic processes only what we send it, cannot use it for its own purposes, and does not train on it. A second supplier, PDFShift, turns the briefing into a PDF document on servers in France, and keeps nothing once it is made.
Who can see your CV
Your CV is visible to:
- the mentor you are matched with for a session
- mentorhero staff, where needed to operate, support and safeguard the service
Your CV is not given to your employer or to the organisation that sponsored or referred your place for their own use. That means it is not shared for their reporting, recruitment or HR purposes, and no sponsor or organisation dashboard shows it.
There is one thing to be aware of. Your matched mentor always sees your CV, and a mentor may be an employee of an organisation, including one connected to you. Where that is the case, that person sees your CV in their role as your mentor, to prepare for and support your session, not on behalf of the organisation. If you would prefer a particular person or organisation did not see your CV, you can remove it at any time (see below) or contact us.
If your mentor prints or downloads your CV. Your mentor may download or print your CV to prepare for and run your session. They must keep it private and destroy any copy once the session is over. They may only keep a copy if you tell them in writing on mentorhero that they can.
If you ask your mentor to pass it on. If you are 18 or over, you can ask your mentor to share your CV with someone who might be able to help you, for example a hiring manager or recruiter where they work. They will only do this when you ask and have confirmed in writing on mentorhero who it can go to. Once it has been shared, the person who receives it is responsible for how they use it, under their own privacy notice. We do not see or control that copy. You can change your mind at any time by telling your mentor, and they will ask the people they shared it with to delete it. This is always your choice. It is not something we do with your CV, and it does not change what we say above about employers and sponsors.
Your CV is not shared with any other mentee.
Where your CV is stored
Your CV is stored securely and access is restricted to you and the people listed above. Every file uploaded is scanned for viruses and malware before it is accepted. We keep your CV for as long as your account is active, and for up to 3 years afterwards. We keep your mentors' briefings for the same time, and after that we remove anything that identifies you from them.
Your choices and rights
- You can replace or remove your CV at any time from your account.
- If you remove your CV, mentors who previously had access will no longer be able to see it, and it will not be shared with new mentors.
- You can ask us for a copy of the personal data we hold about you, or ask us to delete it, in line with your rights under UK GDPR. See our privacy policy for how.
Keeping your CV appropriate
Please only upload a CV that is genuinely yours and that you're comfortable sharing with a mentor. Avoid including sensitive personal information you don't need to share, for example your home address or date of birth.
By continuing, you confirm you've read and agree to how we use your CV as described above.
